Which counter should I pick with HP printers? equivalent impressions / total pages

When it comes to billing meter readings, some dealers bill 1 click per page, no matter the paper size. This very much depends on your agreement or contract with your customer. Legal or A4 is always counted as one click, right?. The point is wheater you charge 2x per A3 or Large paper size and one half for A5 or small paper size.
The HP page Usage Page report shows both meter reading size by size and also an addition with the Equivalent Impressions page count.

For some reason, you maight want to bill the total page count or the Equivalent Impressions. 
Note that softwares that use SNMP technology to read meters do count motor turns wich is simialr to page counts but not exaclty. Users will check the papge count report shown in the printer website and that's the one AMR collects. Wat you see is what you get approach.

The solution

At AMR Printer Management Software came up with a solution where you can chose wich meter reading you like to bill. By default you have a total page count and you can also select the  Equivalent Impressions page count for some other printers.

Most probably , you already have a contract and procedure, so we better adapt the software to your needs not the other way around.

How it works:

The DCA or Driver, collects both meter readings and you choose in the AMR Manager, wich one you get as a billing counter. Our technical support will need to activate this feature in your Manager setup so you are good to go.

Why printer management software fails?

The problem

Printer management software collect printer data like meter readings, toner levels, consumables and printer errors. Data collection is done by a software that gathers info from network printers and sends it over to a central database outside the local network. A software that captures data from the local network and sends it to an external server is usually detected by the antivirus and flagged as malicious software. Antivirus are updated every 3 hours with numerous changes. When a software that works in the background to monitor printers (aka DCA) is not expressly added in the white list as an antivirus exclusion, it can be blocked very easily. The antivirus can block or even delete the executable files and printers monitoring software will stop reporting. Windows updates, can also block any monitoring software that  finds suspicious of spying the net.

The solution

The solution is to re-install the software and make sure you whitelist the Printer Management Software adding it to the list of antivirus exclusions. As a complement the AMR Driver (DCA) software-only version, we introduce AMR Cube. A software + hardware solution that provides reliability over time . Delete printer from AMR Manager

Delete Printer

This action will delete the selected printer from the AMR database.
If the printer is reporting every day, it will show up in the AMR Manager next time it reports (in 24 hours at most)
If the printer is not reporting. will be deleted definitely.

Stop reporting

You will send a message to the client driver so that the printer in that IP address will stop reporting.
If the driver is active and running, will delete the printer from its list and it will not report again.

If you want to delete one active printer, you’ll need to do both. Stop reporting and Delete Printer

 

Delete printer by mistake.

If you deleted a printer by error, simply wait 24h and it will show up again.

You can also look for another pinter from the same installation and force a meter reading now with Send Counters. It will send a meter reading of all printers in that site, included the one you deleted by accident.

You can also search in the install list and force a meter reading now. 

The response time of a reading, if the installation is active and the printer is connected, is 10 min maximum.

Now from AMR Messages you will receive an alarm when a customer changes the toner before it’s empty.

You'd be surprised to know how many times a user changes the 4 color toners when only one or two of them are empty. If they have it available, they simply change all toners and don't care about your money.

Other users, doing maintenance duties, sometimes change the toner when it's low but not empty yet, so they don't have to run when it really runs out.

Users can easily open a ticket from the website.

Avoiding user calls and even emails to report a printer malfunction will save you time and money.

Ticket management from the web, is simple enough so that your customers will always use it. Your client will save time and you will save money.

Printer end users can easily open a ticket in case of printer failure or from any browser.

How it works?

- The customer or end user detects a fault in any printer.

- He/She acces the website with user and password, access the list of printers and clicks on the wrench icon.

- Fills in a brief description of the error or breackdown. He/She can also indicate name and email. 

- A red traffic light with a counter appear on the control panel of the maintenance service provider (the printer's distributor).

- Opening the "Messages" app, the ticket shows up. Responsible will assign the task to a technician and modify the status to: IN PROCESS or SEND

- In real time this change of state and the associated comment, are visible to the final client or user. The date of the process is also recorded.

This way, information flows in both directions in real time without the need for telephone calls. The information is centralized and registered in a single place and accessible in a transparent manner.

If you are a sales person and hate doing your expenses report, this is for you:

Expenses reports mobile friendly. (CAPTIO app review)If I tell you that the only thing you have to do is to take a picture of any ticket that you probably have in your wallet and the rest of your expenses report is done automatically? What would you think?

I wasn’t sure, it really could capture the data automatically from the ticket and put it into a database without any previous template. So I decided to try it myself with some tickets.

I followed the next steps with no hassle and the result really surprised me.

  • Downloaded the app and signup with my email address. Captio creates a user in their cloud.
  • From the app, I snapped a picture of some of the tickets I had in my wallet. I realized how long they are these days.
  • After a few seconds the file was sent to their cloud server to run an OCR and after a while I saw some results. It toke a long while, few minutes maybe, so I recommend you take some pictures and leave it working in the background while you do something else.
  • The free version has a 10 tickets limit so it’s only to test the app. Prices start from 8€/month for freelancers, 60€/month for small business up to 10 users and 700€/month for up companies with up to 100 users. It may look a bit pricy for an app but it really frees you from a pain in the * hassle.
  • Yes a couple tickets didn’t came trough but they where really wrinkled ones. I deleted them and tried again. You can also upload a manual ticket.
  • At the end of the process, you can mark some or all of the tickets and send them via email to your book keeper and it automatically add them and send the total amount. If you have a company account, your accountant will be able to get them in their account, so you don’t even have to send them over. You can also ask for the approval of your boss. He will be able to confirm them and pass them over to the appropriate department.

I would definitely recommend Captio to anyone who likes working in the field and hates the paperwork thats normally left behind and suddenly has to be done on the weekend before the end of the month. It’s also interesting for accountants that don’t like to go behind the sales team. Or to anyone that likes to automate back-office jobs.

On October 24th I was invited to the new product presentation of  Konica Minolta in Barcelona.

At the end of the introductory session we were had a pleasant surprise: a session of African drums led by 3 Africans and followed by all the assistants.
